Questions to ask any billing company
Ask every company you talk to, including us. Our answer, and where to check it, is next to each question.
Fifteen questions, with our answers
Fit and scope
Do I keep my EMR?
Yes. Your clinicians keep documenting where they do today.
What is included?
Coding and charge review, claims, payment posting, denials and appeals, follow-up on unpaid claims, patient statements and calls, and your live dashboard. Coverage is checked before each visit and authorizations are tracked.
What is not included?
Credentialing and payer enrollment. Your front desk submits prior authorization requests; we track them.
Visibility
Can I see where every claim is, at any time?
Yes. Your live dashboard shows every claim, what was paid, what is still owed and how old it is, for the whole practice and for each patient.
Can I see denials by insurance company and reason?
Yes, live in your dashboard, and in the monthly summary.
Will I see every write-off?
Yes. Every write-off shows in your dashboard and your monthly summary, with its reason and who approved it.
People and AI
What does automation do, and what do people do?
Automation checks, matches and tracks. Our billing specialists handle appeals, payer calls and anything that needs judgment.
Codes and liability
Who codes our visits?
We code every visit from your clinician's signed note. When a note does not support a code, we ask your clinician to clarify. Every code and unit is checked against the note and the payer's rules before the claim goes out.
Do you ever upcode, or use software to raise code levels?
No. We never upcode. Software never raises a code level or adds units.
Will you ask us to change a signed note to get paid?
No. We never ask a clinician to change a signed note to get a claim paid.
Data
Do you sign a Business Associate Agreement (BAA) before any patient data moves?
Yes, always, before anything else.
Is there a HIPAA certification?
There is no official HIPAA certification. We sign a Business Associate Agreement before any patient data moves, and we follow the HIPAA Privacy, Security and Breach Notification Rules in how we handle your patients' information.
Specialty
Which rules do you check for my specialty, and where is that written down?
Physical therapy is live: every rule we check is in the rule table on our PT page, with its source. Other specialties are by request.
Price, switching and leaving
What do you charge, and on what?
3.5% of what we collect for you.
Do I keep my records if I leave?
Yes. Your records stay in your EMR, and the BAA requires us to return or destroy any patient information we hold, or, where that is not possible, to keep protecting it.
Next question: what happens when I get in touch?
Tell us about your practice and ask us anything on this list. Business details only, no patient information, please.
